We are seeking a highly organized, execution-focused, and proactive Project Manager to join our growing Delivery team. In this role, you will be responsible for planning, managing, and delivering digital and e-commerce projects from initiation through completion, ensuring they are delivered on time, within scope, and aligned with client expectations.

You will collaborate closely with development, design, QA, and marketing teams while maintaining structured communication with US stakeholders and agency partners. This role requires strong documentation skills, technical understanding of web platforms, structured execution, and the ability to manage multiple concurrent projects effectively.

Key Responsibilities

1. Project Planning & Execution

  • Own end-to-end project lifecycle management from discovery to final delivery.
  • Define project scope, timelines, milestones, and deliverables in collaboration with stakeholders.
  • Monitor progress, anticipate risks, and proactively address roadblocks.
  • Ensure alignment between technical execution and client objectives.
  • Manage multiple concurrent projects while maintaining delivery quality and deadlines.

2. Resource & Task Management

  • Assign tasks based on team strengths, expertise, and project requirements.
  • Monitor workload distribution to ensure optimal resource utilization.
  • Track task progress and ensure accountability across cross-functional teams.
  • Coordinate with team leads to resolve blockers and maintain productivity.

3. Documentation & Reporting

  • Prepare and maintain structured documentation including Scope of Work (SOW), technical briefs, flowcharts, proposals, and requirement documents.
  • Create internal and client-facing reports, dashboards, and status updates.
  • Maintain accurate project records, change requests, and communication logs.
  • Ensure documentation supports clarity, traceability, and scope control.

4. Communication & Stakeholder Coordination

  • Maintain clear and structured communication between India teams, US teams, and clients.
  • Conduct project meetings, sprint reviews, and status update calls.
  • Ensure stakeholder alignment and proactive issue resolution.
  • Ask the right clarifying questions to prevent ambiguity and scope creep.

5. Quality & Process Improvement

  • Monitor project health and ensure adherence to quality standards.
  • Identify workflow inefficiencies and recommend improvements.
  • Adapt to evolving client needs while protecting timelines and objectives.
  • Support the implementation of delivery best practices and structured processes.

6. AI & Workflow Optimization

  • Leverage AI tools (such as ChatGPT, Copilot, Notion AI, or similar platforms) to streamline documentation, summarize meetings, structure SOWs, identify project risks, and enhance reporting efficiency.
  • Utilize AI-driven insights to improve task planning, workflow clarity, and project productivity.

Desired Skills & Experience

  • 5+ years of experience in Project Management within a digital agency, IT services, or e-commerce environment.
  • Hands-on experience managing projects built on WordPress, Shopify, and WooCommerce.
  • Strong understanding of WordPress forms, plugins, integrations, APIs, and payment gateways.
  • Proven experience preparing technical documentation and client-facing presentations.
  • Excellent communication and stakeholder management skills.
  • Strong organizational and multitasking abilities.
  • Ability to make structured decisions in dynamic, high-pressure environments.
  • High ownership mindset with accountability for timelines, delivery, and quality.
  • Proficiency in project management tools such as ClickUp, Notion, Trello, Jira, Asana, Slack, or similar platforms.
  • Experience working with cross-time-zone teams, particularly US-based stakeholders.
  • PMP certification or equivalent is a plus.

Nice to Have

  • Familiarity with white-label delivery models or agency outsourcing structures.
  • Exposure to Agile, Waterfall, Hybrid, or Iterative project management methodologies.
  • Experience contributing to internal training, onboarding, or process documentation.
  • Understanding of risk management frameworks and dependency planning.
  • Strong analytical and structured problem-solving mindset.
