The Pre-Sales Business Analyst owns the process of turning client inquiries and business requirements into clearly defined scopes, realistic estimates, and client-ready proposals. This is an analytical, commercially aware, and documentation-driven solutioning role — not a purely administrative quoting position, a technical delivery role, or a sales role focused solely on closing deals.

You’ll work closely with Sales, Account Managers, Project Managers, Technical Leads, and the Quoting Department to understand what clients need, identify what it will take to deliver it, and ensure proposals accurately reflect the agreed scope, assumptions, timelines, dependencies, and commercial expectations.

Your role is to bring structure and clarity to opportunities before they become projects. You’ll ask the right questions, challenge incomplete requirements, coordinate estimation, identify scope risks, and ensure that both the client-facing team and delivery team understand what is being proposed before commitments are made.

This role is probably not for you if:

  • You prefer preparing quotations from information provided by others without investigating gaps or validating requirements
  • You treat proposal writing as a documentation exercise rather than a process of defining what the client actually needs
  • You routinely pass unclear requirements to technical teams instead of asking questions and establishing clarity
  • You prioritize closing opportunities over ensuring that the proposed scope is realistic and deliverable
  • You are uncomfortable challenging assumptions, identifying risks, or distinguishing confirmed requirements from unanswered questions
  • You prefer working on one task at a time and find it difficult to manage multiple quotes, stakeholders, and deadlines simultaneously

This role is for someone who enjoys:

  • Turning complex or incomplete client requirements into clear, structured, and actionable scopes of work
  • Asking thoughtful questions before estimation begins rather than discovering gaps after a project has started
  • Connecting business objectives with technical feasibility, delivery effort, timelines, and commercial expectations
  • Taking ownership of the proposal process from initial inquiry through final submission and follow-up
  • Working across Sales, Account Management, and Delivery to ensure everyone understands what is being promised

If you’re analytical, commercially aware, and naturally inclined to bring clarity to ambiguity, this role gives you meaningful ownership over the quality of opportunities before they enter delivery.

What you’ll really be doing

1. Discovery and Requirement Gathering

  • Participate in pre-sales discovery and scoping calls alongside Account Managers and Sales teams
  • Understand the client’s business objectives, underlying problems, functional requirements, technical expectations, and desired outcomes
  • Ask targeted questions to clarify requirements, constraints, priorities, and success criteria before estimation begins
  • Identify missing information, conflicting expectations, assumptions, and potential scope gaps
  • Distinguish confirmed requirements from hypotheses and open questions, ensuring unresolved items are addressed before commitments are made

2. Scope Definition and SOW Writing

  • Translate client requirements into structured, accurate, and client-friendly Scope of Work (SOW) documents, proposals, and requirement summaries
  • Define project deliverables, functional requirements, exclusions, assumptions, dependencies, and responsibilities
  • Establish clear boundaries between in-scope and out-of-scope work
  • Document timelines, milestones, constraints, and dependencies wherever applicable
  • Ensure proposals communicate what will be delivered, what is excluded, and what conditions must be met for successful execution
  • Maintain consistency between discovery notes, estimates, proposals, and the final agreed scope

3. Quote Preparation and Estimation Coordination

  • Own the end-to-end quote preparation process, from initial inquiry and requirement clarification through estimation, proposal preparation, and final submission
  • Coordinate with Technical Leads, Project Managers, and the Quoting Department to validate effort estimates and technical feasibility
  • Ensure the proposed solution aligns with delivery capabilities, resource availability, project complexity, and expected timelines
  • Identify estimation gaps, dependencies, and risks that could affect delivery effort or commercial viability
  • Consolidate inputs from multiple stakeholders into a coherent, accurate, and client-ready proposal
  • Ensure estimates and scope documents are complete before proposals are shared with clients

4. Sales Coordination and Commercial Alignment

  • Partner with Sales and Account Managers to support qualified opportunities through the proposal and negotiation stages
  • Ensure proposed solutions address client needs while remaining commercially appropriate and operationally feasible
  • Support proposal walkthroughs, scope clarification, pricing discussions, and revisions when requirements change
  • Identify situations where client expectations, proposed budgets, and delivery realities are misaligned
  • Help stakeholders understand the commercial and delivery implications of scope changes
  • Recommend clarification or revision when a proposal contains unrealistic commitments, unresolved assumptions, or material delivery risks

5. Quote Follow-Up and Pipeline Management

  • Maintain accurate records of active quotes, proposal statuses, revisions, approvals, and next actions
  • Coordinate with Sales and Account Managers to follow up on pending proposals, client feedback, and internal approvals
  • Track opportunities that are delayed, inactive, awaiting clarification, or approaching decision deadlines
  • Ensure every qualified opportunity has a documented status, responsible stakeholder, and appropriate next step
  • Identify process gaps that cause delays, missed follow-ups, or opportunities being overlooked
  • Maintain visibility into the proposal pipeline to support prioritization and forecasting

6. Reporting, Analysis, and Process Improvement

  • Prepare monthly reports covering quote volume, conversion rates, win/loss trends, deal sizes, and proposal status
  • Analyze recurring reasons for lost opportunities, delayed decisions, and unsuccessful proposals
  • Identify patterns in estimation discrepancies, scope gaps, and proposal revisions
  • Provide leadership with insights that support forecasting, resource planning, and commercial decision-making
  • Recommend improvements to discovery questionnaires, estimation workflows, proposal templates, and tracking processes
  • Use available data to identify opportunities to improve proposal quality, turnaround time, and conversion performance

7. Cross-Functional Coordination and Delivery Handoff

  • Collaborate with Project Managers, Technical Leads, and Delivery Teams to validate proposed scope, complexity, assumptions, and dependencies
  • Identify delivery risks and unresolved requirements before project approval
  • Ensure the final approved scope and supporting documentation accurately reflect the commitments made during pre-sales
  • Facilitate a structured handoff to the delivery team, including requirements, estimates, assumptions, exclusions, risks, and relevant client context
  • Clarify discrepancies between the approved proposal and the delivery team’s understanding before execution begins
  • Retain accountability for the completeness and accuracy of pre-sales documentation through the handoff process

Who will thrive in this role

  • Analytical by nature — you break down complex requirements, identify patterns, and understand the implications before recommending a solution
  • Clear with complexity — you can turn technical and business requirements into structured, understandable documentation without losing important details
  • Curious and thorough — you ask meaningful questions, investigate missing information, and validate assumptions instead of accepting incomplete inputs
  • Commercially aware — you understand the relationship between scope, effort, pricing, timelines, client expectations, and delivery feasibility
  • Comfortable with ambiguity — you can identify what is known, document what is missing, and coordinate the right people to reach a decision
  • Accountable for accuracy — you take ownership of proposal completeness, estimation coordination, follow-ups, and documentation quality
  • Collaborative across functions — you can work effectively with Sales, Account Management, Technical Leads, Project Managers, and delivery teams
  • Organized under pressure — you can manage multiple opportunities, changing requirements, proposal revisions, and deadlines without losing attention to detail
  • Confident in client-facing discussions — you can ask clarifying questions, explain scope decisions, and communicate professionally with clients and internal stakeholders

How Success Will Be Visible

  • Requirement clarity — Proposals are based on sufficiently understood business needs, with unresolved questions and assumptions clearly documented
  • Scope accuracy — Deliverables, exclusions, dependencies, and responsibilities are clearly defined before client approval
  • Estimation reliability — Estimates are validated with the appropriate technical and delivery stakeholders and reflect realistic effort and complexity
  • Proposal quality — Client-ready proposals are complete, consistent, commercially aligned, and easy to understand
  • Process ownership — Quotes move through discovery, estimation, preparation, submission, and follow-up with clear ownership and next actions
  • Pipeline visibility — Active opportunities, proposal stages, pending approvals, and follow-ups are accurately tracked
  • Commercial performance — Quote conversion, turnaround time, and win/loss trends are monitored and used to identify improvement opportunities
  • Delivery readiness — Approved projects are handed over with clear scope, estimates, assumptions, dependencies, and supporting documentation
  • Reduced scope gaps — Fewer avoidable misunderstandings, missing requirements, and preventable scope-related issues emerge after project initiation
  • Cross-functional alignment — Sales, Account Management, and Delivery teams share a consistent understanding of what has been proposed and committed
