We are seeking a detail-oriented, organized, and proactive Project Coordinator to join our Delivery team. In this role, you will support Project Managers in coordinating digital and e-commerce projects, ensuring structured execution, accurate documentation, and timely communication across teams.
This is an execution-focused and growth-oriented role ideal for someone building a strong foundation in project coordination within a digital agency environment. You will work closely with development, design, QA, and marketing teams to help keep projects aligned, documented, and on schedule.
Key Responsibilities
1. Project Coordination & Execution Support
- Assist Project Managers in managing projects from initiation through delivery.
- Support scope definition, timeline planning, milestone tracking, and task allocation.
- Track project progress and follow up with team members on pending deliverables.
- Identify potential risks or delays and escalate them proactively.
- Ensure projects remain aligned with defined objectives and schedules.
2. Task & Resource Tracking
- Monitor daily tasks and update project management tools with accurate status reports.
- Support workload tracking to ensure balanced team utilization.
- Coordinate with team leads to clarify priorities and deadlines.
- Maintain organized task lists and ensure accountability across teams.
3. Documentation & Reporting
- Prepare and maintain project documentation including SOW summaries, meeting notes, status reports, and change logs.
- Assist in drafting requirement documents, briefs, and workflow outlines.
- Maintain accurate internal records and communication logs.
- Support preparation of structured client-facing updates and reports.
4. Communication & Collaboration
- Act as a coordination bridge between Project Managers, internal teams, and stakeholders.
- Participate in project meetings and document key action items.
- Ensure timely communication of updates, blockers, and scope changes.
- Maintain professional and structured communication across cross-functional teams.
5. Process & Quality Support
- Monitor workflows to ensure adherence to defined project processes.
- Identify minor inefficiencies and suggest improvements to enhance execution quality.
- Support quality checks by ensuring deliverables align with documented requirements.
6. AI & Workflow Assistance
- Leverage AI tools (such as ChatGPT, Copilot, Notion AI, or similar platforms) to draft documentation, summarize meetings, structure task lists, and improve reporting accuracy.
- Use AI-assisted insights to identify task dependencies, organize project data, and enhance productivity.
Desired Skills & Experience
- 1–3 years of experience in a Project Coordinator or similar role within a digital or IT services environment..
- Basic understanding of WordPress, Shopify, WooCommerce, or other web technologies.
- Familiarity with tools such as ClickUp, Trello, Asana, Jira, or similar platforms.
- Strong written and verbal communication skills..
- Good organizational and multitasking abilities.
- Ability to follow structured processes and maintain detailed documentation.
- Strong willingness to learn and grow within project management.
- Comfortable working with cross-time-zone teams and international clients.
- Openness to using AI tools and digital platforms to improve efficiency.
